3. Coaching, Practice and Supervision Information
Academy programs may include coaching demonstrations, practice coaching, observed coaching, mentoring, coaching supervision, reflective exercises, case discussions, peer learning, and other experiential activities.
These activities may involve personal or confidential information.
Participants are expected to respect the privacy and confidentiality of fellow participants, coaching clients, faculty, and others involved in Academy activities and to comply with confidentiality requirements established for the applicable program.
We encourage participants to exercise appropriate judgment regarding the personal or confidential information they choose to disclose in group learning environments.
If the Academy introduces recording of classes, coaching demonstrations, observed coaching, supervision, assessments, or similar activities, participants will be informed of the relevant recording practices. Where required, appropriate consent or authorization will be obtained.
4. Cultural and Identity-Related Information
Intercultural Coaching Academy’s educational work includes cultural intelligence (CQ), intercultural competence, inclusive leadership, and exploration of cultural identity, including national, gender, and generational dimensions.
As part of courses, discussions, reflective exercises, surveys, coaching practice, or other learning activities, participants may voluntarily share information concerning their cultural backgrounds, identities, experiences, perspectives, values, or lived experiences.
We recognize that some identity-related information may be sensitive.
Participants are not expected to disclose sensitive personal information unless disclosure is clearly identified as necessary for a particular purpose. Where sensitive personal information is collected or otherwise processed by the Academy, we seek to handle it with heightened care and in accordance with applicable law.
We do not use information concerning cultural or personal identity for discriminatory purposes.
5. Payments
Payments for Academy programs may be processed through Stripe.
Depending on availability, location, device, and other factors, Stripe may make payment methods available including credit or debit cards, ACH payments, Apple Pay, Google Pay, or other supported payment methods.
Payment information is processed through Stripe and is also subject to Stripe’s applicable privacy practices.
The Academy may receive information necessary to administer your purchase, such as your name, billing information, transaction details, payment status, amount paid, and refund information.
We generally do not receive or store complete payment-card information when payment credentials are processed directly by Stripe.
6. Website, Cookies and Analytics
When you visit our website, certain technical information may be collected automatically, such as:
- IP address;
- browser and device information;
- operating system;
- pages visited;
- referring pages or sources;
- approximate geographic information;
- date and time of visits; and
- cookie or similar technology identifiers.
We may use Google Analytics to help us understand how visitors interact with our website and improve its performance, content, and user experience.
We also use Google Search Console to understand how our website performs in Google search results and to monitor and improve website visibility and technical performance.
We use Cloudflare Turnstile to help protect our website and online forms from spam, bots, abuse, and other malicious activity. Turnstile may process certain technical signals, such as IP address, browser and device information, user-agent information, TLS characteristics, and information associated with the website and Turnstile site key, for security and bot-detection purposes.
Turnstile operates in the background and may perform verification without displaying a visible challenge to the visitor. According to Cloudflare, Turnstile is designed to process information necessary for bot detection and website security and does not access, store, or transmit information entered into our forms or other page inputs.
Cloudflare processes certain information on our behalf in providing Turnstile and may also process certain signals for purposes described in its privacy documentation, including improving Turnstile’s bot-detection capabilities.
For more information about Cloudflare Turnstile and its data practices, please see the Cloudflare Turnstile Privacy Addendum.
Where applicable law requires consent for non-essential cookies or similar technologies, we will provide appropriate choices.
7. How We Use Personal Information
We may use personal information to:
- respond to inquiries and requests;
- process applications and registrations;
- administer enrollment and payments;
- deliver educational programs and services;
- communicate with participants;
- provide course materials and learning activities;
- monitor attendance and participation;
- administer assessments and evaluations;
- support coaching practice, observed coaching, mentoring, or supervision where applicable;
- determine whether program completion requirements have been met;
- issue and verify certificates and completion documentation;
- maintain appropriate educational and accreditation-related records;
- provide participant support;
- evaluate and improve our programs and curriculum;
- conduct quality assurance;
- administer and secure our website and technology;
- prevent misuse, fraud, or security incidents;
- meet applicable accreditation and professional requirements;
- comply with applicable legal, tax, accounting, regulatory, or contractual obligations;
- establish, exercise, or defend legal rights; and
- send newsletters and other communications where permitted by applicable law.
We do not use personal information for purposes materially incompatible with the purpose for which it was collected without an appropriate basis for doing so.
8. Legal Bases for Processing
Because the Academy serves an international community, laws in some jurisdictions, including the European Economic Area and United Kingdom, require us to identify a legal basis for processing personal information.
Depending on the circumstances, we may rely on:
Performance of a contract — where processing is necessary to provide a program or service you have requested or purchased.
Legitimate interests — where processing is reasonably necessary to operate, administer, secure, evaluate, or improve the Academy and its services, provided those interests are not overridden by applicable individual rights.
Legal obligations — where processing is necessary to comply with applicable law.
Consent — where you have voluntarily agreed to a particular use of your information and consent is the appropriate legal basis.
Where we rely on consent, you may withdraw that consent, subject to applicable law. Withdrawal does not affect processing that lawfully occurred before consent was withdrawn.
9. Newsletter and Marketing Communications
You may choose to receive newsletters and other communications from Intercultural Coaching Academy.
Where required by applicable law, we will obtain appropriate consent before sending marketing communications.
If you no longer wish to receive our newsletter or other marketing emails, you may request to unsubscribe by contacting:
hello@interculturalcoachingacademy.com
We will process your request as required by applicable law.
Unsubscribing from marketing communications does not prevent us from sending necessary administrative or program-related communications when you are enrolled in a program or otherwise have an ongoing relationship with the Academy.
We may retain limited information necessary to record and respect an unsubscribe request.
10. When We Share Personal Information
We do not disclose personal information simply because another organization requests it.
We may share personal information when reasonably necessary with service providers that support the operation of the Academy, such as providers of:
- payment processing;
- video conferencing;
- website hosting;
- email communications;
- learning technology;
- cloud storage;
- scheduling;
- analytics;
- surveys and evaluations; and
- professional or administrative services.
Current providers include Stripe for payment processing and Zoom for live online delivery and video conferencing.
We also use Google services including Google Analytics and Google Search Console in connection with our website.
As the Academy develops, we may introduce additional technology providers, including a learning management system or email communications platform. Their handling of personal information will be subject to applicable contractual arrangements, their respective privacy responsibilities, and applicable law.
We may also disclose information where reasonably necessary to comply with law, respond to a valid legal request, protect the rights or safety of the Academy or others, investigate misuse or security concerns, or establish, exercise, or defend legal claims.
11. ICF Accreditation and Professional Standards
The Academy may offer coaching education designed to align with standards and accreditation requirements established by the International Coaching Federation (ICF).
Where applicable, the Academy may maintain documentation relating to program administration, participant attendance and participation, assessments, learning activities, completion requirements, faculty activities, and other information reasonably necessary for accreditation, quality assurance, or verification purposes.
Where required for an applicable accreditation, audit, verification, or compliance process, relevant information may be made available to ICF, subject to applicable requirements, appropriate permissions where required, and applicable law.
We seek to limit disclosures to information reasonably necessary for the relevant purpose.
ICF accreditation of an educational program and an individual’s ICF credential are separate matters. Participation in or completion of an Academy program does not, by itself, guarantee or confer an individual ICF credential. Individual credentialing requirements and credentialing decisions are determined by ICF.
12. International Participants and Data Transfers
Intercultural Coaching Academy serves an international community, including participants who may reside in the European Economic Area, United Kingdom, Canada, the United States, and other countries.
Because Actionsteps Coaching LLC operates in the United States and uses technology and service providers that may operate internationally, personal information may be processed or stored outside the country in which you reside.
Privacy and data protection laws differ between countries.
Where applicable law requires particular safeguards for an international transfer of personal information, we will seek to use an appropriate legally recognized mechanism or safeguard.
13. How Long We Keep Personal Information
We do not apply an arbitrary single retention period to all personal information.
We retain personal information for as long as reasonably necessary for the purpose for which it was collected, taking into account program administration, verification of program completion, accreditation and quality-assurance requirements, professional obligations, legitimate business needs, and applicable legal, tax, accounting, or regulatory requirements.
Different categories of information may therefore be retained for different periods.
Information necessary to verify that a participant completed a program or received a certificate may need to be retained differently from routine correspondence, marketing information, or temporary learning materials.
If recordings or other particularly sensitive learning materials are collected in the future, their retention will be determined according to their specific purpose rather than automatically being retained for the same period as ordinary program records.
When personal information is no longer reasonably required, we will seek to securely delete, anonymize, or otherwise appropriately dispose of it.
14. Information Security
We use reasonable administrative, organizational, and technical measures designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.
Access to participant information is limited according to legitimate educational, administrative, professional, accreditation, or operational needs.
No internet transmission, electronic communication, or storage system can be guaranteed to be completely secure. Accordingly, while we take reasonable measures to protect information, we cannot guarantee absolute security.
15. Your Privacy Rights
Depending on where you live and the law that applies to you, you may have rights concerning your personal information.
These may include rights to:
- request access to personal information we hold about you;
- request correction of inaccurate or incomplete information;
- request deletion of certain personal information;
- request restriction of certain processing;
- object to certain processing;
- withdraw consent where processing is based on consent;
- request portability of certain information;
- opt out of marketing communications; and
- lodge a complaint with an appropriate privacy or data protection authority.
These rights are subject to the conditions, limitations, and exceptions established by applicable law.
To make a privacy request, contact:
hello@interculturalcoachingacademy.com
We may need to take reasonable steps to verify your identity before fulfilling certain requests.
We will not discriminate against an individual for exercising privacy rights available under applicable law.
16. Children’s Privacy
Our programs and services are designed for professional and adult learners and are not directed to children.
We do not knowingly collect personal information from children through services intended for adult participants.
If we become aware that personal information concerning a child has been collected in circumstances where it should not have been, we will take appropriate steps in accordance with applicable law.
17. Third-Party Services and Links
Our website, programs, or communications may contain links to websites, resources, platforms, or services operated by third parties.
Independent third parties are responsible for their own privacy practices, and their processing of personal information may be governed by their own privacy notices.
We encourage you to review the privacy information provided by third-party services before providing personal information directly to them.
18. Changes to This Privacy Notice
We may update this Privacy Notice from time to time to reflect changes in our programs, technology, service providers, business operations, professional requirements, or applicable law.
When we update this Notice, we will revise the “Last updated” date at the top of the page.
Where appropriate or required by applicable law, we may provide additional notice of material changes.
